Document management and control is never a high priority for an organization. It does not generate revenue like sales, inventory like production, or assets like research and development. Even experienced executives can struggle to explain the return on investment. This typically results with document management being an afterthought when it comes to resources. It is understandable when startups which are short on cash use Google Docs or Dropbox to as makeshift Document Management System (DMS) provided they institute comprehensive policies to makeup for the lack of features. Even when an organization installs a DMS, whether its DokuWiki, Confluence, OnBase, or something else a lack of internal procedures can limit benefits. A fully configured and maintained DMS is more than file storage, it is an opportunity. Check-in/Check-out can identify valuable, active contributors. Metrics can highlight what documents to prioritize for updates. Audit trails provide a list of knowledge leaders that employees can consult when documentation is insufficient. Comments and annotations provide supplementary information to build on in future updates. An organization that trains its people to treat the DMS as a shared community resource and emphasize as not only the source of truth but the best place to find answers will not only benefit from efficiency but the proliferation of best practices.
